When you interact with the Universitas Padjadjaran (Unpad) Academic Information Centre, complete a form, or subscribe for updates, Unpad may collect and process your personal data. This notice explains what we collect, why we use it, who may access it, and the choices and rights available to you.
This notice supplements the Universitas Padjadjaran Privacy Policy and is implemented in accordance with applicable laws, including Indonesia's Law No. 27 of 2022 on Personal Data Protection.
Information we collect
Information collected through marketing forms, newsletters, events, or information services may include:
- your first and last name;
- your email address and phone number;
- your role or profile, such as prospective student, parent or guardian, alumnus, educator, or professional;
- your interests in study programs, faculties, scholarships, admissions, events, or other academic topics;
- your language and communication preferences;
- the form or page through which you contacted us; and
- technical information recorded for service security and operation, such as your IP address, browser type or user-agent, and interaction date and time.
You are responsible for ensuring that the information you provide is accurate and that you are authorised to provide it. Where the information relates to a child, consent must be provided by a parent or guardian as required by applicable law.
Why we use your information
Unpad may use this information to:
- manage and verify your subscription;
- send information about study programs, admissions, scholarships, events, news, and Unpad services;
- tailor communications based on your profile, language, and selected interests;
- respond to enquiries or connect you with the relevant Unpad unit;
- maintain security, prevent misuse, and meet legal obligations; and
- evaluate and improve services, content, and communications using statistical reports or aggregated data.
Marketing consent
By selecting the consent checkbox and submitting the form, you consent to the processing of your personal data for the purposes described on this page and agree to receive marketing communications from Unpad by email and, where relevant and you have provided a phone number, by phone, SMS, or WhatsApp.
Your consent is voluntary. Refusing or withdrawing marketing consent will not affect access to public information, an application or admission process, admission status, or academic services that do not depend on this consent.
Who may access your information
Your information may only be accessed by authorised Unpad units and personnel where required for their work. Unpad may also use service providers that support email delivery, system administration, hosting, analytics, or communications. These providers may process information only on Unpad's instructions and must apply appropriate safeguards.
Unpad does not sell or rent your personal data. Information may only be disclosed where necessary for the purposes described, where appropriate consent has been obtained, or where required by law.
Retention and security
Information is retained for as long as necessary to manage your subscription, provide requested communications, meet legal obligations, resolve disputes, or maintain a record of your opt-out preference. Unpad applies reasonable administrative and technical safeguards against unauthorised access, use, alteration, disclosure, or loss.
How to stop receiving communications
You may withdraw your consent or stop receiving marketing communications at any time by:
- using the unsubscribe link included in marketing emails; or
- contacting Unpad and asking us to update your communication preferences.
Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn. We may retain the minimum information needed to ensure that your opt-out request continues to be honoured.
Your rights
Subject to applicable law, you may request access to, correction or updating of, deletion of, withdrawal of consent to, or restriction of the processing of your personal data. To protect your information, we may request sufficient details to verify the identity and authority of the requester.
